What the first version could include
A website assistant answering routine questions from an approved knowledge base; a clear route to your existing booking system; an enquiry form for events, groups or special requests; and a handover path to your reception or sales team.
A QR code in reception or a guest room can open the same visitor guide on a phone. It could contain arrival information, facilities, dining details and directions, with a named member of your team responsible for keeping the source information current.
An example guest journey
Illustrative example, not a live hotel deployment: a guest asks about parking and breakfast. The assistant presents the hotel's approved information and offers the official booking link. When asked for a group quotation, it collects the relevant dates and requirements and passes the enquiry to the hotel team.
Room availability, prices and confirmed bookings require an agreed connection to the relevant live system. Without that connection, the assistant should direct guests to the booking engine or staff rather than make up an answer.
What we need from your team
Your current website, guest FAQs, arrival and departure details, facilities information, approved contact routes and the systems you already use. We also need an owner for content updates and clear instructions for questions the assistant should hand over.
Start with public guest information. Any access to booking records or other customer information should be scoped separately, including permissions, data handling and the staff workflow.
How a pilot would work
Choose one area, such as pre-booking questions. Agree the content, build the journey, test typical and difficult questions, and review the handover process before launch. Your team approves the answers and experience.
Measure useful outcomes: correctly answered questions, completed enquiries, handovers and time spent maintaining the content. Compare them with the previous process. A pilot should establish whether a larger rollout is worthwhile; it does not guarantee extra bookings.
What is included in the quotation
The quotation should specify the initial build, content preparation, any integrations, testing and handover. Ongoing software subscriptions, usage charges and maintenance are identified separately. A website chatbot can be a focused addition to an existing site; a complete website rebuild is not a prerequisite.
